Provider Schedules

What you'll learn: How to set up working hours for each provider in your practice.

Why Configure Schedules?

Provider schedules determine:

  • When each person is available
  • What times can be booked
  • Availability shown on the calendar
  • AI booking constraints

Accessing Schedule Settings

  1. Go to Settings
  2. Find Schedules or Provider Availability
  3. Select a provider to configure

Setting Working Hours

For each provider, set:

  • Which days they work
  • Start time each day
  • End time each day
  • Any breaks or unavailable periods

Day-by-Day Configuration

Open Days

For each working day:

  • Set opening time
  • Set closing time
  • Hours are when they're available

Closed Days

Mark days they don't work:

  • Weekends if applicable
  • Regular days off
  • The AI won't book during these

Breaks and Lunch

If the provider has regular breaks:

  • Set lunch hour
  • Mark other break times
  • These times become unavailable

Recurring vs. One-Time

Regular Schedule

The normal weekly pattern:

  • Monday 9-5, Tuesday 8-4, etc.
  • Applies every week
  • Forms the baseline

Exceptions

One-time changes:

  • Vacation days
  • Special events
  • Schedule adjustments

Use time blocks for exceptions.

Multiple Providers

Each provider has their own schedule:

  • Configure individually
  • Can overlap or differ
  • Calendar shows all together

Impact on Booking

When someone books:

  • Only available times are offered
  • Provider schedules are respected
  • No double-booking during off hours

The AI and Schedules

The Voice AI uses schedules to:

  • Offer appropriate times
  • Know who's available when
  • Avoid impossible bookings
