Setting Up Your Practice

What you'll learn: How to configure your business information, services, and operating hours during the onboarding process.

Business Information

After completing your personal profile, you'll enter details about your practice. This information helps your AI assistant understand and represent your business accurately.

Required Information

Business Name

  • Enter your practice's official name
  • Example: "Acme Healthcare" or "Sunrise Family Medicine"
  • This is how your AI will identify your practice to callers

Optional Information

Business Address

  • Enter your full street address
  • Example: "123 Main St, Suite 100, New York, NY 10001"
  • The AI uses this to give directions to callers

Business Email

Business Phone

  • Enter your current business phone number
  • This may differ from the new AI-answered number you'll receive

Website

Business Description

  • Describe what your practice does
  • Include your services, specialties, and the types of patients you serve
  • This helps your AI assistant answer questions accurately

Click Continue when finished.

Configuring Your Services

Next, you'll tell the system what services you offer.

Adding Services

  1. Type the name of a service you offer
    • Example: "Annual Physical", "New Patient Consultation", "Follow-up Visit"
  2. Click Add another service to add more
  3. Remove a service by clicking the X button next to it

Tip: Add all the services patients commonly ask about. Your AI will use this list when booking appointments.

Setting Business Hours

Configure when your practice is open for each day of the week:

  1. Toggle Open/Closed

    • Click the button to mark a day as open or closed
    • Closed days show "Closed" to callers
  2. Set Hours

    • For open days, set your opening time
    • Set your closing time
    • Use the time pickers to select hours

Default hours: Monday–Friday 9:00 AM to 5:00 PM, weekends closed. Adjust as needed.

Choosing Your Phone Area Code

The system will assign you a dedicated business phone number. You can request a specific area code:

  1. Select from common area codes shown (212, 310, 312, etc.)
  2. Or click Other to enter a custom 3-digit area code
  3. We'll try to get a number with your preferred area code

Note: Area code availability depends on what numbers are available in our system. If your preferred code isn't available, we'll assign the closest match.

Click Continue to Plan Selection when finished.

Saving Your Progress

Your progress is saved automatically as you move through each step. If you need to leave and come back:

  1. Close the browser — your session is saved
  2. Return to InboundAI365 later
  3. You'll automatically resume where you left off
