Editing Appointments

What you'll learn: How to modify existing appointments, change details, and update appointment information.

Opening an Appointment for Editing

From the Calendar

  1. Click on the appointment
  2. The appointment details panel opens
  3. Click Edit or the edit icon

From a Patient Profile

  1. Go to the patient's profile
  2. Find the appointment in their history
  3. Click to view, then edit

What You Can Change

Title

Update the appointment name or description.

Date

Move the appointment to a different day:

  • Select a new date from the picker
  • The appointment moves to that date

Time

Change when the appointment occurs:

  • Select new hours and minutes
  • The calendar updates to reflect the change

Duration

Adjust how long the appointment will last:

  • Enter a new duration in minutes
  • Useful when appointments need more or less time

Type

Change the appointment category:

  • Switch between Appointment, Call, Meeting, Task
  • Or change to a different service

Provider

Reassign the appointment to a different team member:

  • Select a new provider from the dropdown
  • Helpful when schedules change or for coverage

Visit Type

Switch between In-Person and Telehealth:

  • Click the button for the new visit type
  • Useful when circumstances change

Patient

Change or add the associated patient:

  • Search for a different patient
  • Clear the current patient if needed

Saving Changes

  1. Make your edits
  2. Click Save Changes or Update
  3. Changes apply immediately
  4. You're returned to the calendar view

Canceling Edits

If you change your mind:

  • Click Cancel to discard changes
  • The appointment returns to its original state

Inline Editing

Some details can be edited directly from the detail view:

  • Look for edit icons next to fields
  • Click to make quick changes without opening the full form

When to Edit vs. Cancel

Edit when:

  • Changing the time or date
  • Updating the provider
  • Correcting patient information
  • Adjusting duration

Cancel when:

  • The appointment won't happen
  • The patient no longer needs the visit
  • You need to mark it as a no-show

Multiple Changes

You can change several things at once:

  • Update time, provider, and type in one edit
  • All changes save together

Tips for Editing

Double-check dates — Ensure you've selected the correct new date when rescheduling.

Update patients — If a patient's appointment moves, they should know.

Check conflicts — After moving an appointment, verify the provider doesn't have a conflict.

Note the change — Consider adding a note to the patient's profile about the reschedule.
