Patient Profiles

What you'll learn: What information is stored in patient profiles, how to view all details, and understanding the different sections.

Opening a Patient Profile

  1. Go to Clients (or Patients)
  2. Click on any patient card
  3. Their full profile opens in a detailed view

Profile Header

At the top of every profile you'll see:

  • Avatar — A photo (if uploaded) or initials
  • Full Name — Including any title (Dr., Mr., Mrs., etc.) and "Also Known As" name if set
  • Status Badge — Their current status (Active, Inactive, Prospect, Lead)
  • Visit Statistics — Number of completed visits and cancellation rate

Contact Information

This section shows all ways to reach the patient:

Email

  • Click to open your email program with their address filled in

Phone

  • Click to start a phone call (on mobile devices)
  • The number is formatted for easy reading

Addresses

Patients can have multiple addresses, each labeled:

  • Home — Residential address
  • Work — Business address
  • Billing — For invoices and payments
  • Shipping — For deliveries
  • Mailing — For correspondence
  • Other — Any additional addresses

A star indicates the primary address.

Date of Birth

  • Shown with full date formatting

Also Known As

  • Alternative names the patient goes by

Tags Section

Tags are labels you've assigned to organize your patients:

  • Tags appear as rounded badges
  • Each tag is clickable (for future filtering)
  • Add or edit tags through the Edit function

Notes Section

View all notes attached to this patient:

  • Notes are categorized by type (Internal, Client-Facing, Call Summary, Meeting Notes, Follow-Up)
  • Pinned notes appear at the top
  • Each note shows when it was created
  • Click a note to view, edit, or delete it
  • Notes with tags show those tags below the content

Appointments Section

See the complete appointment history:

  • All past and future appointments appear here
  • Each shows the date, time, provider, and status
  • Status colors indicate: Completed, Cancelled, No Show, Rescheduled, Scheduled, Confirmed
  • For pending appointments, you can mark them completed or cancel them directly

Appointment Statistics

  • Completed visits — Total number of appointments they've attended
  • Cancellation rate — Percentage of cancelled or missed appointments

Activity Timeline

At the bottom of the profile:

  • Added — When this patient was first created in the system
  • Last Contact — Your most recent interaction with them

Profile Actions

At the bottom of the profile, you'll find action buttons:

  • Message — Send an email or SMS (if enabled)
  • Edit — Change any of their information
  • Delete/Archive — Remove them from your active list
